This notice explains how AJAEX LTD uses personal data from www.ajaex.com: the contact form, the AJAEX Pulse early access form, emails you send us, and the technical records our hosting keeps.

What this site does

This site sets no cookies and loads no analytics or tracking scripts. Fonts, images and videos are served from our own hosting.

What we collect

  • Enquiries. If you use the contact form, we receive your name, email address, company if you give it, and your message. If you email info@ajaex.com, we receive your email address, your name if you give it, and what you write.
  • AJAEX Pulse early access requests. If you use the Pulse form, we receive your name, company, email address and the team size you choose.
  • Request logs. Our hosting on AWS keeps standard request logs for each visit, including your IP address and approximate country, the page you asked for, the time, the page you came from and your browser type. We use them to see how the site is used and to keep it secure.
  • Spam protection. To limit misuse of the forms, we keep a short-lived counter linked to a scrambled (salted and hashed) form of your IP address. We do not store your message or email address in it.

Why we use your data

  • To reply to your enquiry or early access request. Our lawful basis is legitimate interests (answering people who contact us), or taking steps before a contract when you ask about working with us.
  • To keep the site and the forms secure and working, and to see how the site is used. Our lawful basis is legitimate interests.

We make no automated decisions about you.

Who we share it with

Only service providers who act on our instructions: Amazon Web Services (AWS), which hosts the site and runs the forms, and Microsoft, whose Microsoft 365 service handles our email. We may also share data where the law requires it. We do not sell your data.

Where your data is processed

The site and the forms run in the AWS London region. AWS delivers pages through locations around the world, so your IP address is handled near where you are. Our request logs are stored by AWS in its US East (N. Virginia) region. Microsoft may process email data outside the UK. Where your data is transferred outside the UK, we rely on recognised safeguards, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.

How long we keep it

  • Enquiry and early access emails: 24 months after our last contact with you, then deleted.
  • Request logs: 90 days, then deleted automatically.
  • Spam protection counters: 24 hours.

Your rights

You can ask us to:

  • give you a copy of your data (access)
  • correct it (rectification)
  • delete it (erasure)
  • restrict how we use it (restriction)
  • stop using it where we rely on legitimate interests (objection)
  • give you your data in a portable format, where the law gives you that right (portability)

Email info@ajaex.com to use any of these rights. We will reply within one month. If a request is complex, or you send several, we may need up to two more months, and we will tell you why within the first month.

Complaints

If you are unhappy with how we use your data, please email us first at info@ajaex.com. We will acknowledge your complaint within 30 days, look into it without undue delay and tell you the outcome. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Changes to this notice

If anything changes, we will update this notice and the date at the top.
